How to share files using one drive

Open one drive.

Right click and choose ‘New Folder’

Give your folder a name and hit enter. Once you have done this right click on the folder and select ‘Share’ it has a little blue cloud icon.

Once you have clicked on share you will find the following window pops up.

You will see by default the access is set to People in Gloucester City Council with the link can edit, so if you want to share large files internally then keep this as is.

If you click on the box you will find a drop-down menu with several options.

If you want to share a file with someone who is external you have two options, ‘Anyone with the link’ or ‘Specific people’ if the file is not confidential then the first option is fine otherwise the second option is probably the best.

Click on Apply once you have made your choice, you will then be presented with the following window.

Here enter the email address of the person you wish share a file with then underneath where it says ‘Add a message’ you can type as if you would a normal email, once complete hit send. This will send a link to the recipient and they will have access to that folder and its contents on your one drive account. They will only have access to this folder and nothing else.
